The Philadelphia Live Arts Festival and Philly Fringe is dedicated to supporting artists, and to bringing the worlds newest and most thrilling contemporary arts experiences to the region. Best known for its two concurrent sixteen-day Festival each September, the curated Live Arts Festival showcases internationally-renowned contemporary performing artists while the un-juried Philly Fringe is open to anyone wishing to produce their own work. The 15th-annual Philadelphia Live Arts Festival and Philly Fringe will take place September 2-17, 2011.

Distribution Manager
Responsibilities: The Distribution Manager is chiefly responsible for the physical distribution of the Philadelphia Live Arts Festival and Philly Fringe’s approximately 18k Festival Guides, 5k Live Arts at a Glance mini booklets, 300 show posters, and 5k show flyers between the dates of July 25 and September 17, 2011. In addition to undertaking a portion of this distribution work personally, the Distribution Manager will need to assemble, manage, and track a volunteer distribution team. Materials can often simply be dropped at targeted locations; however there are also a series of summer-time events (PW concerts at Rittenhouse Square, First Friday in Old City, etc.) where “hand-to-hand” distribution will be required. Additional responsibilities include the distribution of A-frame signs to 5-10 venues, and working with the Community Outreach Coordinator to disseminate the above-mentioned materials to specific area campuses.

Compensation: This position pays $2,300 (before taxes). Reimbursements at a rate of $0.50 per mile - up to 1,500 miles driven, will be provided for Guide-related activities (weekly mileage logs to be presented to Marketing Director).

Our program is open to undergraduate and graduate students and other individuals who have an interest in the performing arts. Our internships are usually unpaid except in those cases (noted below) where an institution or foundation has funded an individual intern. We have developed an Internship Program that serves to reinforce and expand classroom theory and practice, and to enable participants to make informed choices about pursuing careers in the arts. The program is geared toward students enrolled in studies related to the production and administration of the performing arts. We also welcome non-students who seek to gain valuable firsthand experience in the arts in exchange for their efforts. The staff of the Live Arts Festival and Philly Fringe is comprised of experienced professionals in the areas of arts administration, programming, marketing and promotion, and development and fundraising. We are happy to partner with faculty, career placement offices, and other appropriate officials at local colleges and universities to afford students the opportunity to obtain a unique educational experience in exchange for academic credit awarded upon successful completion of the program. We offer internships in the following areas: Programming, Marketing and Promotions, Communications, Development and Fundraising, and Arts Administration. Our Managing Director oversees the program, with the assistance of our Office Administrator.

Timeframe

We conduct our Internship Program primarily between the months of May and September. Occasionally we will have a part-time internship available in the off-season. Length of internships as well as work schedule will be individualized for each intern based on the needs of our organization, the intern’s goals, and the requirements of the academic institution. Interns typically work for 20-40 hours per week, mostly during the work week of Monday through Friday, between the hours of 10am and 6pm.

Internships (in alphabetical order)

Arts Administration Internship

The Arts Administration Intern will work with the Managing Director and Office Administrator in performing the financial, IT, and daily office duties so that staff can achieve the Festival's mission.

Responsibilities may include: obtaining visas for international artists; assisting with compliance with 501 (c) (3) requirements; assisting with financial management operations; daily entering of information into accounting software; assist with account payable, deposits, credit card, and petty cash processing; providing IT assistance with our server, website, and email; helping to maintain efficiency of computer operations; and aiding Office Administrator in managing the overall office.

Qualifications: The successful candidate will be detail oriented and organized, and able to handle multiple projects at once. Preferred candidates will have experience with QuickBooks, and academic backgrounds in Arts Administration, Business, Finance, Accounting, or IT.

Community Outreach Internship

The Community Outreach Intern will assist the Community Outreach Coordinator with raising the profile of the Philadelphia Live Arts Festival and Philly Fringe at college campuses and community events throughout the Philadelphia area.

Responsibilities may include: providing Festival representation at general community and university events; coordinating set-up, take-down and management of events; entering outreach info into Festival database; enhancing Festival’s online presence and community network; brainstorming new and creative ways to reach out to students, administrators and professors; researching course offerings pertinent to the current Festival season; welcoming student groups; and assisting with audience survey preparation and tally of results.

Qualifications: The ideal candidate will be a self-starter with strong social and organizational skills. Must have knowledge of excel, experience with data base entry, and willingness to learn Tessitura. Must have valid driver’s license and car access.

Festival Blog Internship

The Festival Blog Intern will work with the Blog Manager to write and post stories, photos, and video about the Festival, its performances and events, and its artists. The Festival Blog is read by tens of thousands of people in the months leading up to the Festival.

Responsibilities may include: writing and publishing items about summer events featuring Festival artists; writing and publishing feature stories about Festival artists and performances; locating and sharing video of artists' current or past performances; assisting with the production of audio slideshows or video featuring Festival artists; promoting blog posts using Festival and artist social media presences.

Qualifications: The ideal candidate will enjoy writing and reporting, and will have a strong command of grammar and style. Past experience working on student newspapers, literary magazines, or other publications is desirable; the work is more akin to journalism than marketing. Preferred candidates will have some familiarity with Philadelphia and its arts and cultural organizations, comfort with content management systems and basic HTML, and the ability to effectively use search engines and social media.

Fringe & Patron Services Internship

The Fringe & Patron Services Intern will work across multiple departments including Program, Development, and Marketing to assist with customer inquiries and provide administrative support.

Responsibilities may include: Fielding ticket and membership inquiry calls; processing ticket orders; processing memberships and gifts in Tessitura database; assembling and mailing membership packets and acknowledgements; following up with Philly Fringe artists for show information; entering Philly Fringe artist and production data into Tessitura; assisting with the proofing of the Festival Guide’s Philly Fringe section; and other administrative support as needed.

Qualifications: The successful candidate will be highly organized and detail-oriented, with great customer service and phone skills. Must have ability to work with databases. Previous Box Office or Tessitura experience a plus.

Guide Management Internship

The Guide Management Intern will assist the Guide Editor/Copywriter with the production process for the 2010 Festival Guide, and with updating the Festival’s show-related website content. The Festival Guide is a full-color, 120-page catalogue that includes descriptions of every show presented in the Festival, and a comprehensive calendar of all Festival events.

Responsibilities may include: managing, fact-checking, and proofreading information for the Festival Guide; recording guide information in our database; updating the Festival website with changes to artist or show details.

Qualifications: The ideal candidate will enjoy writing and have a strong command of grammar and style; be a current or former humanities major (preferably English) who has experience working on student newspapers, literary magazines, or other publications; have familiarity with using database systems, such as Microsoft Access; and be comfortable navigating websites and using search engines. Preferred candidates will have some familiarity with Philadelphia and its arts and cultural organizations.

Marketing and Promotions Internship

The Marketing & Promotions Intern will assist the Marketing Department with the development and execution of the marketing plan for the Festival and its individual artists.

Responsibilities may include: audience research, management of mailings and distribution, special event promotion and assistance, public relations support, and more. The Marketing Intern's time will be focused in Marketing, however, opportunities to supplement experience within other departments according to candidate's goals and interests will be available.

Qualifications: The ideal candidate will have strong phone and writing skills, and be an enthusiastic self-starter. Preferred candidates will have academic background or experience in Marketing.

Production Administration Internship

The Production Admin Intern will work with the Live Arts Festival's Technical Directors on the administrative and production needs for the 15+ Live Arts performances that take place in various venues throughout the city

Responsibilities may include: working under the supervision of the Festival's Technical Directors to coordinate rentals and scheduling of equipment; providing administrative support in the Live Arts main office; assisting with personnel needs such as scheduling, payroll paperwork, and timesheets; assiting with tracking production expenses and submitting finance records.

Qualifications: The ideal candidate will be an enthusiastic self-starter with excellent problem-solving and communication skills. Candidates will have a background in theater management and coordination with a working knowledge of both Microsoft Word and Excel. Prefer candidates with valid driver's license and access to a vehicle.

Programming Internship

The Programming Intern will work with our Programming Director and Fringe Coordinator on both the Live Arts Festival and Philly Fringe artist and logistical needs for the Festival.

Responsibilities may include: assisting the Programming Director with special events during the months preceding the Festival; creating show programs for Live Arts performances; coordinating housing and travel needs for out-of-town artists; assisting with Live Arts artist contracts; entering data and managing information in our Festival database; assisting with researching and coordinating logistics surrounding outdoor/site-specific Festival shows; and assisting with Festival Bar programming and logistics. The Programming Intern will also assist the Fringe Coordinator in day-to-day operations including artist communication, mass mailings, and other administrative tasks.

Qualifications: This is a grant funded position targeting 18-26 year olds.  Recent college graduates preferred as the Programming Intern is required to work through the 2010 Festival. The ideal candidate will be familiar with the Philadelphia dance and theater community;  experienced in events coordination; a self-starter with initiative who can work on projects independently; detail oriented and organized; able to work in a high-stress environment; flexible and adaptable to change.

Special Events Internship

The Special Events Intern will provide administrative support to the Development team, primarily assisting with FEASTIVAL Gala and other Festival Special Events.

Responsibilities may include: assisting in the planning, promotion, and staging of special events; preparing invitation mailings; tracking and processing RSVPs; assisting in the procurement of auction items; fulfilling benefits and perks for sponsors and donors; communicating in a variety of mediums to stakeholders and supporters; and run-of-show support at all Festival events June - September.

Qualifications: The ideal candidate will be personable, upbeat, enthusiastic, and flexible; able to work independently, but also contribute as a member of a team and receive constructive feedback; computer savvy; and a quick learner who easily adapts to changing priorities. Preferred candidates will have academic backgrounds in Marketing and Communications, English, or Arts Administration, and have a demonstrable interest in the performing arts. Valid driver’s license and access to a vehicle a plus.
